Policy & Procedures
When I craft policies and procedures, my guiding philosophy is to anticipate the diversity of the stakeholders and prevent future headaches. I hate red tape as much as the next person but I also recognize the importance of having rules and structures. A little extra care and thought is well worth the effort if the outcome is to considerate of a colleague or to prevent things from falling apart.
Also, there is nothing more I love than an anonymous company survey! This is a great way for those who do not feel safe or confident to speak up to share some really great ideas. I have found that it is usually the quietest people who end up having the most prolific ideas - so I love giving them a voice.
Pro-tip: If you administer a survey close the loop and share the results with the team! This holds you accountable to take action and makes everyone who participated feel heard and willing to participate the next time!
Here are some notable examples of policies and procedures I have implemented:
At BuckUp
Created the patent application for BuckUp’s underwriting and validation process.
Ensured our ACH processes (including the customer e-sign) met NACHA requirements.
Provided updated authorship of our Terms and Conditions and ensured legal compliance.
Provide general oversight on legal compliance and cohesiveness of all processes.
At Bleeker
Created The Bleeker Report quarterly to measure how closely the company was in actual alignment with its values and operating principles of Trust, Teamwork, and Impact through anonymous surveys and financial data.
Oversaw the 4-day workweek pilot which was then successfully established as employee policy.
Worked with oneTILT to identify and address team needs in terms of anti-racist training and policies.
Established opportunities for employees to connect and share ideas through mediums that accommodated different Mind Patterns.
Attained B-Corp certification.
At Safe & Reliable Healthcare
Crafted a comprehensive and compassionate COVID Travel Policy accounting for client needs, employee comfort and regulatory guidelines.
Led a tiger team in developing Safe & Reliable’s highly lauded Culture Code and Communication Standards.
Owned and maintained the S&R Company Handbook with all employee resources on Notion - including accounting, travel and activity policies.
Created an onboarding processes with an inclusive mindset and awareness of different abilities – especially around technology comforts.
Created a detailed policy around using the GSuite environment (including Google Drive and Shared Drive), accompanied with a detailed manual with screenshots and instruction videos.
The take home message for the team (and all subsequent new hires) was to approach this with a collaborative mindset. Of course, it’s easy to organize your own files and documents, but when you are working remotely with a team, we must all take a moment to be considerate of others who will benefit from our work. That includes:
Overly detailed document names and date conventions
Saving documents in reasonable places.
Periodically creating awareness about existing work to avoid duplicating efforts.
At the Immune Deficiency Foundation
Created policies around data collection and maintenance in Civi CRM which facilitated meaningful data collection such as:
Being able to create ‘ideal constituent profiles’ for each department
Significantly improving contact information and reducing the number of bad addresses and emails
Significantly reducing the number of email spam reports
